This guide provides a nightly checklist for full-service and bar operations using the MicroSale point of sale system. Follow these steps each night to ensure smooth daily operations, boost profits, and lower labor costs, loss, and chargebacks.
Step 1: Check POS Terminals
Ensure all POS terminals are powered on and on the ID Screen to record and reset all terminal data properly.
Step 2: Close Checks and Orders
Make sure all checks and takeout orders are closed. To do this:
- Login > Server Menu: An empty server menu means there are no open checks or tabs.
- Order Screen or Server Menu > Phone Orders: This shows open phone/online orders.
If there are open takeout orders that were not picked up, either discount the check to $0.00 and close to cash (which tracks as a deliverable good, removing the items from inventory) or void the check (which adds the items back into inventory, assuming the food was never made).
Step 3: Validate Tips
After settling the batch, you can only add or adjust tips on the processor’s side. To verify tips:
- Go to Managers Menu > Credit Card Menu.
- Compare the signed credit card slip to the entered tip amount.
- If adjustments are needed, tap the incorrect tip within the Gratuity column.
- Exit when finished (do not select batch charges).
Step 4: Close Employee Audits
Ensure all employee audits (server reports) are closed.
Steps:
- Go to Server Menu > Server Report > Server Audits
- Tap an audit name, then Close Audit
Alternatively, you can close all audits at once:
- Go to Server Report > Server Audits > Close All Server Audits
- Select Close All Server Audits
- Confirm the cash deposit by selecting Yes
If you're prompted with a message that says checks are open, please go back and close all checks before proceeding.
Step 5: Clock Out Employees
This is an optional step. If employees are still working, keep them on the clock. At the end of their shift, they must clock out to verify their worked hours for the day and claim cash tips (if applicable). To do this:
- Go to Managers Menu > Reports Menu > Time Keeping Reports > Who’s on the clock.
Warning! Depending on your system settings, the closeout may fail if employees are still on the clock.
If your system is set to run automated closeouts, your checklist tasks are now complete. If you need to run the closeout manually, proceed to the next step.
Step 6: Run a Manual Closeout
To run a closeout:
- Go to Managers Menu > Daily Close.
- Tap Daily Close.
- Confirm the physical cash matches the “Cash from Audits” amount.
- Tap Close Daily Sales, then Yes to confirm.
- To print the Daily Sales Mix, tap Yes. You can print or email this at a later time. The report emails out when the closeout completes.
- Tap Yes to settle the credit card batch.
- If it is also the end of your week, it’ll prompt to run a Weekly Close Out, tap Yes.
