How can I reopen a closed check in Quick Service?
You cannot reopen a closed check in Quick Service. Go to Managers Menu - Transaction Review, select the date, and search for the check. If there’s an error, void it and re-ring correctly.
Can we close the credit card batch before the Daily Close?
No, closing the batch before the Daily Close will show all credit card sales as “Cash” in MicroSale. Use Auto Close to handle both the Daily Close and batch closing automatically.
Which report shows the “# of Customers”?
The Sales Report in the Reports Menu shows customer numbers and averages.
Where can I see total “Tips Paid Out” per server?
Go to the Server Screen, select Server Report - Server Income, and enter the date range.
Where can I create another Job Title?
Go to Managers Menu - Register Setup - Tenders-Paid Outs - Employee Job Titles.
How can we print an Employee Phone List?
Go to Reports Menu - Time Clock Reports - Print Phone List.
Is there a way to print a report for future reservations?
Yes, touch “Print Reservation Sheet” to print all open reservations.
How can I see category sales broken down by day and week?
Go to Managers Menu - Reports Menu - Sales History - Category and select the date range.
How can we process offline credit cards with NetEPay?
Ensure you have an internet connection, minimize NetEPay, and on any terminal except the back office, go to Managers Menu - Credit Card Menu - Batch Utilities - Process Offline Charges.
How is the tip handled and reported for Gift Cards through MicroSale?
Enter the tip on the Gift Card by touching “Apply Tip”. The Servers Audit will show the payment type, amount, and the total charged tips.
How can I get total credit card dollar amounts and tips for the year?
For total credit card amounts, go to Reports Menu - Sales History - Summary and enter the date range. For total tips, go to Server Screen - Server Report - Server Income and enter the date range.
Does MicroSale have a Training Mode?
Yes, create an employee with the first name “Training” and the last name “Mode”. Transactions in Training Mode will not affect your sales totals.
Should Meal Period times be entered manually or selected from available times?
Select times from the available options to ensure proper functionality.

Can I sell multiple Gift Cards in one transaction?
Yes, each line item will prompt for the individual card swipe.
How can I split a check in half for two guests?
You can move items to a second seat or split the tender between two credit cards on the tender screen.
Where is the button to reopen a closed check in Full Service?
It is located on the bottom left of the Server Screen.

Which mdb file holds the customers?
“Call In Orders.Mdb” for phone orders, and “Scan.Mdb” for house accounts.
The “Sales History Report” is in which mdb file?
“Closing History.Mdb”
Does MicroSale interface with “QuickBooks”?
Yes, and also with “Great Plains” accounting package.
Is it possible to share Frequent Diner points between several stores?
Yes, you can share information among several restaurants for Frequent Diner if you have a Server and full-blown SQL.
Why isn’t it displaying what I entered as a message in MicroSale for my pole display?
Exit to Windows and restart MicroSale for the message to show on your pole display.
Why can’t I get into the MicroSale FTP site when I am using the proper username and password?
Go to Tools, Internet Options, Advanced, Browsing, Uncheck “Use Passive FTP”. You may also have to change Firewall settings (“Unblock”).
Register Options
How can I put a name on Go Order checks?
In Managers Menu, go to Register Setup, Register Options, Full Service. In General Options, put a checkmark on “Set Go Order as Open Check” and “Type name on Go Order” and Save.
How can I increase the maximum dollar amount allowed for “Misc Sales”?
In Managers Menu, go to Register Setup, Register Options, Time Clock/Misc. Change “Max Misc Price Allowed” to the appropriate dollar amount and Save.
How can I require a Server to punch in before opening audit?
Go to Register Setup, Register Options, Full Service, Uncheck “Allow Server Audit to Start On Log In” and Save.
How can I make it ask if I want to start an audit when the cashier punches in?
Go to Register Setup, Tenders-Paid Outs, Job Titles and put a check on “Requires Audit”.
How can I stop comments with “Attach Request” from printing on receipt?
Go to Register Setup, Register Options, Printing/Cash Drw and put a checkmark on “Print Charge Modifiers Only On Receipt”. Touch Save.
How can I change the name of a default prefix?
Go to Register Setup, Register Options, under “Modifiers” change the prefix name and Save.
How can I make the contest report print on the Server’s Audit?
Go to Managers Menu, Register Setup, Register Options, Full Service. Put a checkmark on “Show Sales Contest (Order Screen)” and Save.
How can we get a receipt after ringing a phone order for the driver to take to delivery?
Go to Managers Menu, Register Setup, Register Options, Phone Order Options. Uncheck “Receipt Prints On Order Close” and Save. (Now it will print when you touch Done after ringing the order and on order close.)
I put a checkmark on “Print Slip when Check is Closed” in Full Service, but why isn’t the slip printing?
You must also go to Managers Menu, Register Setup, Register Options, Printing/Cash Drw and select Chit or Receipt on “Close Check Receipt” Option. (Default is None.) Touch Save.
Can we assign Spanish to an employee for a Mexican Restaurant?
Yes, there is a “Language Preference” field for each employee.
On Version 8, where is the option to turn language on and off?
Go to Managers Menu, Register Setup, Register Options. “Language” On/Off is on the left side of the screen in the gray area. Touch Save.
How do you allow for no credit card slip or signature on low dollar amounts?
Go to Managers Menu, Register Setup, Register Options, Menu/Credit Cards. In the Credit Card Options section, it shows “No Credit Card Receipt Under $ _____”. Fill that in with the proper dollar amount for the restaurant. Put a checkmark on “No Sign Line On Receipt” and Save.
How can we set it up so that Servers cannot clock out until all checks are closed or transferred to another Server?
Go to Managers Menu, Register Setup, Register Options, Full Service. In the “Report Audit Options” section, put a check on “Audit must be closed before Punch Out” and Save. In order to close the audit, they must have all checks closed.
How do you turn on the Wait List?
Go to Managers Menu, Register Setup, Register Options, touch Menu/Credit Cards button. In the Menu Options section, put a checkmark on “Enable Customer Wait List”. Touch Save.
How can I make the items print on the ticket in the order they were rung up?
Go to Managers Menu, Register Setup, Register Options, Menu/Credit Cards. Check “Menu Items in Order As Entered” and Save.
How can I remove unnecessary reports that print on Daily Close?
Go to Managers Menu, Register Setup, Misc Setup, Closing Report Setup. Put a checkmark on each report you would like to disable and Save.
In Full Service, how can I make it so it doesn’t exit out to the ID screen so quickly?
Go to Register Setup, Register Options, Full Service. Change “Pause Server Screen (Seconds)” to a higher number, or to “0” so it never jumps out to the ID screen and Save.
Why are Servers forced to get a Manager to clock in?
In Managers Menu, go to Register Setup, Register Options, Time Clock/Misc. Uncheck “Use Time Window for Time Clock” and Save. (Do this on every terminal.)
How can I make it so that tax is included when they ring up liquor, unless it’s rung up with food?
In Managers Menu, go to Register Setup, Register Options, Full Service. Do NOT check any Tax options at all. In Menu Maintenance, Menu Items and Pricing, go to each liquor item and put a checkmark on “Price Includes Sales Tax” and Save.
How do you set up “Server Charge Back”?
In Managers Menu, go to Register Setup, Tenders Paid Outs – Customer Requests. Touch Server Tip Fee Setup, enter the credit card type in the field beside “Server Charge Back”, enter the tip fee percentage and Save.
Menu Maintenance
Menu Item is programmed and assigned to a button, but why isn’t it on the order screen?
The item is hidden underneath another button. On the Menu Item Button Layout screen, select the appropriate category and touch “Restore Default”. Then reassign the buttons on the screen.
How can I remove an item from the button layout?
In Managers Menu, go to Menu Maintenance, Menu Item Button Layout. Touch the category that the item is linked to. Touch the item on the right side of the screen that you wish to remove. Touch the aqua box under “Unassigned Menu Items” and Save. Now that the item is removed from the button, MicroSale will allow you to delete the item in Menu Items and Pricing.
How can I change the size of buttons on the screen to be small like “Liqr Prep”?
Click on Expand Buttons Off and it changes to Expand Buttons On and turns green. Right-click on the button you want to change and hold it down. Simply move the mouse to change the size of the button. Click on Expand Buttons On to turn it off. Click Save.
How do you color menu item buttons in version 8?
Touch Color/Logo/Sound, set Sample Button color, touch “Copy Color” and touch all items that are that color.
Why do some Categories and Sub Categories have a number instead of a descriptor?
Do the following to fix: Managers Menu, Menu Maintenance, Menu Items & Pricing, Alt Print Barcode and Remove All Alias Names.
Printers
Since we don’t have a report printer, how can we print Time Records Preview to the receipt printer?
Touch the small printer icon button on the top of the screen, instead of the “Print” button on the right side of the screen. Many reports were formatted for printing to an 80 column report printer. It is best to have a report printer attached to your system, even if it’s a stand-alone terminal. The report printer could be underneath the counter.
Why can’t I get my Demo to print to the kitchen printer?
MicroSale’s Demo will not print to any remote printer. Also, all prices show as $1.00.
How can I enlarge the print to the remote printer?
Make sure “Expand Print” is checked for the items in Menu Items and Pricing. In Register Setup, Printer Esc Codes, Select Remote Printer by touching the drop-down beside “Available Printers”, select TM-T88 under “Types”. Touch Save Codes to Printer and test operation.
Receipts are printing for Express Orders, but why aren’t receipts printing for Dining Room or Go Orders?
Go to Managers Menu, Register Setup, Register Options, Printing/Cash Drw. On “Close Check Receipt” option select Receipt and Save. (Default = None.)
How can I set up routing of “Misc Sales” to the printer?
Go to Managers Menu, Menu Maintenance, Department Menu. In the “Select Remote Printer for Misc” box, touch the drop-down beside Remote Printer 1 and select the printer you want “Misc Sales” to print to. Touch Save.
Cashiers & Cash Drawers
How can I set it up so that only 1 terminal can close the checks?
You must set up “Centralized Check Closing”. (See documents.)
How can we force the cashier to enter the beginning bank on terminals with drawers?
They must be punching in on a terminal with a drawer. Make sure the drawer is assigned in Register Setup, Register Options, Printer/Cash Drw. Also, in Register Options, Full Service, under Report/Audit Options uncheck “Disable Server Drawer Assignment”. Use “Bartender” or “Server” Job Title. (“Tipped” is checked.)
When closing Server Audit it asks “Deposit Cash to Drawer?” What is it asking exactly?
It’s referring to a Banked Server closing their audit with Manager. Answer Yes if the Manager will put their cash in the drawer. Answer No if putting cash in the safe.
One Cashier is logged on and all tips are shared with all employees. How do we handle Charge Tips?
At the End of Shift, there is a charge tip dollar amount for the Cashier. Do one big Tip P/O for that total amount to relieve the cashier of that money in the drawer. Put the dollar amount of the Tip P/O in the Cash Tips jar. Management divides the entire amount of cash in the tip jar equally for each employee and gives it to employees. Management goes to “Edit Tip” amount for each employee and types in what they received.
Why has my cash drawer stopped opening when tendering a transaction or when touching the “Open Drawer” button?
The cable between the cash drawer and the printer may be unplugged, or it is loose at one end. Make sure the connectors are securely plugged in at both ends.
Discounts & Gratuity
How can I set up “auto gratuity”?
- In Discount Maint, touch “Discount Events” button. In the drop-down menu, select Automatic Gratuity. Put a check mark in the box next to the gratuity created previously. Touch Save.
- In Register Options, touch Full Service tab. Set the minimum number of guests to automatically add gratuity in the box labeled “Prompt (Set No in Party”). Put a check mark in the box labeled “Automatic Add Gratuity”. Touch Save.
Can I set up 50% off for Happy Hour?
You can do a dollar amount reduction on a department, but that will be on every item in that department. Otherwise, you must link each item to the H.H. Timed Event and enter the price.
How can I make the Mixer Modifiers for Liquor charge a lower price for Happy Hour like the Liquor items are?
Go to Mixer Mods and double-click the priced modifier (e.g., coke $1.45). Touch “Set Price Levels”. Enter HH price across from Level 1, Save and “Add to List”. Do that for each Modifier with a price. (On main item, Timed Event Pricing: Mod Price = 1.)
How can we make it so the Delivery Charge is not taxable?
Go to Managers Menu, Discounts/Gratuity and select “Delivery Charge”. Set Sales Tax to “0” instead of “1”, and touch Save.
Manager Functions
How can I go back and review tips?
Go to Managers Menu, Time Clock Functions, Edit Tip.
Why can’t I close Server Audit on Managers Menu?
Sign on as Manager on the ID screen and touch “Server Report” on Server Menu. Since you are signed on with Manager #, you will be able to close Server Audit on that screen.
How can we reopen a closed audit?
Enter Manager # and touch “OK”. Touch Server Report, Reopen Closed Audit and select the Server name.
How can we reprint a closed audit?
Go to Managers Menu, Reports Menu, Sales History, Audit History and enter Start and End Dates for the appropriate date.
How can I reprint a transaction from a previous day?
Go to Managers Menu, Transaction Review, select a date for the current week. You can also touch “View Backups” to see weekly close dates.
Where can I find “Non-Taxed Sales”?
Refer to “Daily Sales Summary” on Reports Menu.
How can I reopen a closed check in Quick Service?
In Quick Service, you cannot reopen a closed check. Go to Managers Menu, Transaction Review, select the date that the check was closed and touch “Search All” button. Select the appropriate check to show the details on the check. If something is not correct, void the entire check, and re-ring it correctly.
Can we close the credit card batch before the Daily Close?
No. If you close the batch before the Daily Close, all credit card sales will appear as “Cash” in MicroSale. You may choose to set up Auto Close at the end of the day, which will do the Daily Close and close the credit card batch automatically.

Make sure you have an internet connection with NetEPay running and minimized. On any terminal other than the back office, go to Managers Menu, Credit Card Menu, Batch Utilities, Process Offline Charges.
If doing Gift Cards through MicroSale, how is tip rung up and reported?
Enter the tip on Gift Card by touching “Apply Tip” button just like a credit card. On top of Servers Audit it will show Payment Type = Gift Card, Amt = $50.00 (Includes Tip), No. = 1. Below that it shows: “Tl Charged Tips” = $10.00.
How can I get total credit card dollar amounts and tips for the year? (For my CPA.)
- Total credit card $ amount for the year: Go to Reports Menu, Sales History, Summary, Start & End Date, Search. Under Tenders, you’ll see each tender type, total dollars and quantity of each.
- Total Tips $ amount for the year: On Server Screen, Server Report, Server Income, Start & End Date, Search. It shows Charge Tips and Cash Tips, if any, by each Server.
Does MicroSale have a Training Mode?
Yes. Create an employee with the first name “Training” and the last name “Mode”. When a new employee rings up items in the Training Mode, no items are sent to the remote printers, and the transaction totals do not add to your Net and Gross Sales.
Can the Meal Period times be entered manually, or must the times be selected from the times available?
The Meal Period times should not be entered manually. For it to work correctly, you should select from the times available. This will allow for the last hour of the meal period to go to the 59th minute and 59th second of that hour.

You can add a joiner and move certain items over to the 2nd seat, or on the tender screen you can split tender with two different credit cards.
