? What is the best way to manage employees on the clock during the closeout?
If employees are still actively working, keep them on the clock. However, their employee audit (server report, X-Report, etc.) must be closed and tips entered.
Default Setting
Unless you have special requirements, we recommend to keep the default settings. The additional options provide flexibility but require careful consideration to avoid payroll and labor mistakes. "you forgot to clock out, please see a manager"
This option keeps labor hours more precise; Employees remain on the clock until their next shift if the time is not adjusted. When they clock in at their next shift, it forces a manager to adjust the hours before the employee can clock in for the shift. This is a failsafe to ensure employees are not getting paid for unworked hours
End of Day Runs with Employee(s) On the Clock = Yes
Optional Closeout Settings for Managing Employees who forgot to clock out
Additional options on how to handle the closeout when employees are still clocked in and forgot to clockout.
Managers Menu -> Register Setup -> Terminal Configuration -> Register Options -> Terminal Setup -> Global Options
- The closeout process will be blocked if any employees are still clocked in.
- Benefit: Forces management to review the employees who are still clocked in and manually adjust their time, when they actually left. Taking care of the issue immediately. Ensures all employee time records are finalized and accurate before the closeout.
Tip!
Verify a successful closeout the next morning by following the guide:
Starting the Day: Verifying a Successful Closeout
End of Day Runs with Employee(s) On the Clock = No
- Employees are automatically clocked out during closeout and immediately clocked back in.
- Benefit: Maintains precise labor hours by keeping employees clocked in until their next shift if hours are not adjusted.
End of Day Runs with Employee(s) On the Clock = Out_In
- All employees are clocked out during closeout, however, their clockout time is the time of the daily close.
- Manager Responsibility: Managers must manually adjust time for any employees left on the clock to avoid overpayment.
- Note: This option is not recommended due to potential issues with overpayment for unworked hours.
